All examination papers must use the standardised front cover sheet (template available below) and bear no examination questions. All details and instructions on the cover sheet must be in English or another language and English. This is to facilitate our invigilators who need to understand the instructions on the paper. The standardised cover sheet must be used on all exam papers and a copy should be attached to the front of each envelope containing exam paprs.
Instructions
The instructions table on the cover sheet must be fully completed for all exam papers.
Please see below a brief guide on the instructions.

Dictionary allowed (supplied by the student) | For certain language examinations, departments may wish to allow all students make use of a translation dictionary.
If applicable, indicate yes on the instructions table and, if appropriate, state the specific edition/version of dictionary permissible in the other instructions box. Non-programmable calculator allowed | If indicated yes, students will be permitted to use a non-programmable calculator in the exam.

Student required to write in and return the exam question paper | If you require students to write all or part of the examination on the examination paper you must indicate yes on the instructions table. The cover page must also have a place for students to write their name and student number. |
Further details:
- Please ensure that the correct semester, academic year, module code, title and exam duration are on the front of the exam paper.
- Examination papers must be numbered in the format Page 1 of X, Page 2 of X etc. Where there is more than one page in an exam paper, please ensure it is stapled.
- In the case of modules taught concurrently and requiring the same paper, only 1 module code should be listed on the front cover of the paper. We will require separate exam packs for the modules.
- Where separate answer books are required for separate sections of an examination paper we would ask that this is clearly indicated on the front cover of the exam paper and in the other instructions box.
- If you require a handout to be distributed to students please indicate this on the front cover of the exam paper.
Exam Paper Packs Report for Departments
A report is available in Workbench that details the number of exam papers required for each venue for each module, including those with exam accommodations (NEP) as granted by the Access Office. This report can be accessed and downloaded, once the timetable is complete, for photocopying exam papers for your department.
To access the report, go to Workbench, In Campus links, and then click on the link Examinations Reports and select the Exam Paper Packs Report for Departments. Select the relevant academic period and department from the drop-downs.
Please note this report is only available after the timetable has been released.

The Exam Paper Packs Report for Departments shows the number of papers required for each venue on separate rows. Therefore, every line on the report indicates an exam pack that needs to be created.
You are no longer required to calculate the spare number of papers; the new report calculates this for you. Therefore, each exam paper pack should have the exact number as quoted in the "Number of Exam Papers Required (including spares)" column.
Exam Paper Pack Requirements
Please prepare a separate envelope for every row that appears on the Exam Paper Packs Report for Department. The envelope should contain the exact number of exam papers as quoted in the "Number of Exam Papers Required (including spares)" column. You are no longer required to calculate spares; the report does this automatically.
A copy of the standardised cover sheet should be attached to the front of each envelope containing exam papers. On the top of the envelope, you should then write which venue the pack is for, and the number of exam papers enclosed. For example:
"Main Sports Hall - 282" or "Hume Cat 1 - 22"
We classify students into three different categories, which are detailed below:
Category 1: are students who need extra provision (NEP) and are taking their examinations in either the Hume or TSI buildings. These students can be identified under the venue column listed as Hume Cat 1, TSI A Cat 1.
Category 2: are NEP students who require special format examination papers. Special format papers are either an LPR (enlarged paper, A3) or an EPR (electronic paper on a USB stick). These students can be identified under the venue column listed as Hume Cat 2, TSI A Cat2.
You should include at least one additional exam paper in a Category 2 envelope.
As well as the cover page on the front of the envelope you should then write which venue the pack is for, the students name and the type of paper enclosed. For example:
"Hume Cat 2 - BLOGGS J - EPR" or "TSI Cat 2 - BLOGGS J - LPR"
Please note for the students listed with "Individual Requirements" we will contact departments if they require any special format papers.
Category 3: are students who are taking their examinations in the main exam venues. For particularly large modules, there may be more than one main venue and so more than one envelope may be required. Please ensure these are bundled together and the cover sheet and pack details are placed on the front of each envelope.
MCQ Answer Sheets - There are several departments who use MCQ-style exam papers. Please be sure to include a good surplus of MCQ answer sheets also. Any unused MCQ answer sheets will be returned to the relevant department.
Exams Office Copies
One copy of each paper (for all department modules) is required in a separate envelope. Please list all modules that are enclosed on the front of the envelope along with your department name and marked Exams Office Copies.
Spare Papers
Departments are no longer required to calculate the number of spare papers required; the Exam Paper Packs Report for Departments does this automatically.
We request spares as student numbers can fluctuate as temporary cases come into the exams office - e.g. broken bones or where exams have been divided into multiple halls as not all students go to the correct venue.
For your information, spares are automatically calculated as follows:

On-Call List
A lecturer is required to be on call for each module during the exam period. This is so that Senior Invigilators in the exam venues can direct any questions about the exam paper to them. An On-Call list template will be sent from the Examinations Office to departments in the month preceding the exam session.
The template will be in Excel format (please do not alter) and will include the department name, module code, module title and date of exam. You will be required to enter the name of the person on call, their mobile phone number and email address. When completing the On-Call sheet, we ask that you please do not alter the sheets formatting. If more than one person is on call for one module additional lines within a may be added.
Please note, these are for Exams Office use only and we will never divulge any contact details you provide with students.
Please ensure that the person listed is available to take a call on the date and time of their exam. A mobile number must be supplied for all modules.
