Workbench
Workbench is an online facility that provides a centralised resource of links to the most commonly used applications and ease of access and management to student information and other staff utilities. This system is available to all staff. To request user access to student and staff information please raise your request through ServiceDesk
E-Learning Moodle
Moodle is the University's e-learning system. The service is hosted and maintained by IT Services, and jointly managed with the Centre for Teaching an Learning (CTL). Staff and student support is provided by the CTL's Moodle Support team. To contact Moodle Support, email moodlesupport@mu.ie.
Student Administration System - ITS (Integrator)
ITS is the Student Administration System which holds both course and student information. Students can access their personal information on ITS through student web services. Student biographical and class list information displayed in workbench comes directly from ITS. To request user access to ITS please raise your request through ServiceDesk
Research Information System (RIS)
The Research Information System delivers a set of tools enabling academic staff manage their personal research profiles and track progress of submitted research proposals. To request user access to RIS please select the following link Research
Academic Database
The academic database is an application framework that manages the academic structure and update workflow. It is managed centrally and access distributed to members of staff in the departments to update module content and subject curriculum.
Finance System - JD Edwards (JDE)
JDE is the finance system used by the University. Access to JDE is restricted to authorised staff members. To request user access to JDE please raise a request through ServiceDesk.
MyCard
MyCard is the Maynooth campus smart card used by both students and staff. More information on MyCard

Email & Collaboration Tools
There are many ways to communicate with different parties both within and outside the University including email, mailing lists along with voice services for fixed and mobile telephony including conference calls at your desktop phone.
Mailing Lists

All-staff and all-student/qualification lists are available through Office365, and are restricted lists. They are automatically updated nightly.

Module based mailing lists are available and will be updated nightly. Membership is refreshed with data from the Student Records System. Each list address is of the form: <MODULE-CODE>-students@lists.mu.ie.

Mailing lists can be setup upon request, of the form <listname>@lists.mu.ie. Membership must consist of University affiliated addresses (e.g., @mu.ie, @mumail.ie) - if you need to set up a mailing list containing third party (non Maynooth University) addresses, we recommend using a HEAnet hosted list: https://webforms.heanet.ie/listserv
Accounts and Access
Your University logon account is used to access systems including email, wireless, Moodle and workbench. You can change your password on campus at the following: http://www.maynoothuniversity.ie/changepassword
Internet, Wireless and Network
To stay connected, many systems and services are available whether you are using a desktop, laptop or are on or off campus. For access when off campus, you will need to apply for access to the MU myVPN service, please raise a ticket through Servicedesk or email servicedesk@mu.ie to request access.
Copy and Print
Student printing service is provided via the Copy & Print Service.
Storage
All staff and students are provided with a personal drive (X) for file storage and each Department and Office is also provided with a shared storage drive. To map your netowrk storage space, see the following guides: Windows - map a storage drive (PDF) Mac - map a storage drive (PDF)
Upon request, staff may access storage drives off campus using the myVPN service. For access, you must raise this request with ServiceDesk.
X Drives - Self Restore of Data: Previous Versions provide a Self Restore Service for you to restore files and folders on your X Drive in case the originals are lost, damaged, or deleted.

Microsoft Office 365
All staff and students of Maynooth University and St. Patricks College, Maynooth (SPCM) are provided with access to Microsoft Office 365. Office 365 includes email, calendar, OneDrive Teams, Office software and much more. This will be available for your term of employment. Service information:
- Your staff email address will use either @mu.ie (for Maynooth University) or @spcm.ie (for SPCM.)
- You have access to email, Office software and 1TB of OneDrive storage through your browser or dedicated apps.
- Office software including Word, Excel, Powerpoint and OneNote can be installed on your own computer(s) and mobile device(s) at no extra cost.
- Share files with your peers and collaborate with OneDrive and Office software.
- Use Teams for your departmental files, research project or with your class or colleagues.
Hardware & Software
IT Services acts as a point of contact for contracts of the purchase of mobiles, laptops, tablets, desktops, printers and supported software. Please contact ServiceDesk for details.
Hosting & Data Centre
The Data Centre, opened in 2009, is a state of the art high density hosting facility with efficient power, cooling and environmental management to meet the IT needs of the University and Research community. Data Security
We all create and use data in our work at the university. Data can take different forms including, but not limited to documents, spreadsheets, images, media files or presentations. Each user has a responsibility to maintain and protect the data s/he uses as a member of the University community.
Data can be compromised or destroyed in many ways. Some examples include:
- Virus infection
- Ransomware infection
- Disk failure
- Accidental deletion
- Theft of the computer or other device it is stored on
- Deliberate deletion by third party
When data is damaged or lost, there is a corresponding loss to both the user concerned and to the University. Users of data can limit the likelihood of data loss by taking some simple precautions.
- Back up your data regularly to OneDrive or Teams and not an external device
- While we do not recommend the use of external media such as hard drives or USB keys, if used, these should be stored in a locked environment
- Be careful about what websites you visit
- Beware of email attachments from senders you do not know or unusually named attachments from known senders
- Beware of using computers other than those provided to you by Maynooth University.
- If you have occasion to work on a personally owned device at home, please ensure that it has the latest operating system and software patches installed and that the anti-virus protection is up-to-date.
- Beware of downloading free software from the internet. Programs and apps that are provided for free may have malicious content packaged inside of them.
- Exercise caution when using open, free public wireless networks.
- Exercise caution when using Internet cafe style computers.
- If you are suddenly prompted to run an application on your device, refrain from doing so unless you know exactly what it is and are satisfied that it is part of some process you are currently running.
- To take advantage of the best and secure user experience for email we recommend using Maynooth University’s O365 service
If you feel that your computer may be infected with a virus or ransomware:
- Switch it off immediately
- Contact IT Services immediately (ServiceDesk 01 708 3830)

Laptop Encryption
It is University policy that laptops should be encrypted for the protection of data in case a laptop is stolen and/or if an unauthorized peron/s attempt to access data on same. Maynooth University uses different software packages to encrypt laptops.
- Bitlocker Encryption: All Windows 10 laptops are encrypted using BitLocker
